Overview
Data oversharing is the single largest data security risk that organizations face when deploying Microsoft 365 Copilot. Copilot retrieves content based on the requesting user's existing permissions — it does not elevate access, but it does make existing access far more visible and efficient. A SharePoint site shared with "Everyone except external users" that contained sensitive HR documents may have gone unnoticed when humans had to navigate to it manually. With Copilot, that same content surfaces the moment a user asks a question that matches it. Oversharing assessment identifies these exposures before Copilot amplifies them.
Microsoft Purview Data Security Posture Management (DSPM) for AI provides built-in oversharing assessments that scan the Microsoft 365 data estate for content that is broadly accessible, unlabeled, or shared with permissions that exceed what the content's sensitivity warrants. The default assessment identifies sites, documents, and containers where access is broader than expected — for example, sites shared with the entire organization, documents with no sensitivity label applied, or content labeled as confidential but accessible to large distribution groups. Beyond the default assessment, organizations should create custom assessments scoped to priority sites — the document repositories, team sites, and project libraries that contain the most sensitive content and will be accessed most frequently by Copilot users. Custom assessments allow security teams to focus remediation efforts where the risk is highest rather than treating every overshared document equally.
Remediation follows assessment. Once oversharing risks are identified, site owners and data stewards must take corrective action: tightening permissions to follow least privilege, applying or correcting sensitivity labels, restricting site-level sharing settings, and removing stale access grants. This is not a one-time activity. Oversharing patterns recur as new content is created, new users are added to groups, and sharing links accumulate over time. Organizations should plan for periodic re-assessment to ensure that remediation gains are sustained.
This activity is foundational to Use Least Privilege Access — it directly reduces permission sprawl across the data estate so that Copilot only surfaces content that users genuinely need for their work. It also supports Verify Explicitly by validating that access permissions match the actual sensitivity of the content, rather than assuming that existing permissions are correct. The risk of skipping this step is straightforward: users discover sensitive content through Copilot that they should not have access to, compliance violations occur when regulated data is surfaced in uncontrolled contexts, and threat actors who compromise a single user account gain AI-assisted reconnaissance across every document that account can reach.
