Configure Retention Policies for AI Prompts and Responses

Overview

When users interact with Microsoft 365 Copilot or Agent 365 instances, those interactions generate data — prompts submitted by users, responses returned by the AI, and metadata about the interaction context. This data has regulatory, legal, and security value. Retention policies determine how long this data is preserved, when it becomes eligible for deletion, and whether it can be placed on legal hold. Without retention policies in place before AI workloads go live, organizations risk losing interaction data that may be required for compliance audits, litigation responses, or security investigations.

Microsoft Purview supports retention policies specifically scoped to Copilot interactions. These policies capture the full interaction record — the user's prompt, the AI's response, the files and content referenced during the interaction, and the timestamp and user identity associated with each exchange. Administrators configure retention periods that align with the organization's data retention schedule and regulatory obligations. For industries subject to record-keeping requirements — financial services, healthcare, government — these policies ensure that AI interactions receive the same retention treatment as email, chat, and document content.

The timing of this configuration matters. Retention policies are not retroactive for interactions that occurred before the policy was applied. If an organization enables Copilot without a retention policy and later needs to produce AI interaction records for a legal hold or regulatory inquiry, those early interactions may already be gone. This is why retention configuration belongs in the readiness phase, immediately after the initial data protection assessment — it must be in place before AI workloads begin generating interaction data at scale.

This activity supports Assume Breach by ensuring that AI interaction records are available for forensic investigation when a security incident occurs. If a threat actor uses a compromised account to query Copilot for sensitive data, the interaction records are the primary evidence for understanding what was accessed and exfiltrated. It also supports Verify Explicitly by providing an auditable trail of AI interactions that compliance teams can review against data handling policies, rather than relying on assumptions about how users interact with AI services.

Without retention policies, AI interaction data exists in an ungoverned state. It may be deleted before legal or compliance teams can access it, retained longer than regulatory frameworks allow, or inaccessible when eDiscovery teams need to search for specific interactions during litigation. Organizations that skip this step discover the gap only when they need data that no longer exists.
